Host Terms of Service

These Terms of Service ("Terms") govern your use of Permit Ready Pros Consulting Inc. ("PRP", "we", "our", "us") services as an individual short-term rental host. By creating an account, purchasing a plan, or otherwise using PRP services, you ("Client", "you", "your") agree to these Terms.

Property managers operating multi-unit portfolios are governed by the separate Property Manager Terms of Service.

Plain-language summary. PRP is a Toronto-based compliance consultancy. We help you navigate City of Toronto STR rules. We don't submit applications, file MAT, or guarantee outcomes. Plans are annual, paid via Stripe (credit/debit card), non-refundable once started.

1. Plans & Fees

PRP offers three flat-rate annual compliance plans for hosts. All fees are in Canadian dollars (CAD) and exclude HST.

Service: quarterly audits · permit application + renewal prep · 10-day notice response support · monthly compliance monitoring · 1-business-day priority response SLA.

The plan you select at checkout governs the scope of services you are entitled to. The full service definitions are in Section 18 below.

2. Billing & Payment

All fees are billed annually in advance. PRP accepts payment via Stripe (credit/debit card).
By subscribing, you authorize PRP to charge the payment method on file at each annual renewal via Stripe.
Plans auto-renew on the anniversary of your subscription start date unless you cancel at least 7 days before renewal.
Renewal reminders are sent by email approximately 60 and 14 days before each renewal.
Plan upgrades made mid-term are prorated immediately by Stripe.
Plan downgrades take effect at the next renewal (no mid-term refunds).
If a payment fails, your subscription is marked past_due. Stripe automatically retries; if all retries fail, your portal access is paused (no data is deleted).
You can manage your card, view invoices, change plan, or cancel at any time via the Stripe-hosted Customer Portal, accessed from your account page.
For one-off scenarios (offline payment, accommodation invoice), PRP may issue a manual invoice; this is the exception, not the standard flow.

3. Scope of Services

PRP provides consulting and advisory services related to short-term rental compliance, including:

Permit application guidance and review
STR eligibility assessments
Principal residence compliance review
Municipal by-law education and advisory
Complaint response guidance
Ongoing compliance support (per plan)

PRP does not submit applications on your behalf and does not act as your agent with any municipal authority. All submissions to the City of Toronto remain your responsibility.

4. No Guarantee of Outcome

You acknowledge that:

PRP does not guarantee permit approval, renewal, or compliance outcomes
All final decisions are made by the City of Toronto or relevant governing authority
Regulatory requirements may change at any time

5. Client Responsibilities

You are the registered permit holder or applicant for your property
All information you provide to PRP is accurate and complete
You are solely responsible for: submitting applications; communicating with the City; maintaining compliance with all applicable bylaws; remitting MAT to the City of Toronto

6. No Legal, Tax, or Financial Advice

PRP is not a law firm, accounting firm, or licensed brokerage. All services are informational and advisory only and do not constitute legal, tax, or financial advice. Consult qualified professionals for those matters.

7. Self-Serve Portal Access

Active subscribers receive access to a secure web portal at permitreadypros.com/client-portal.html for the duration of their subscription. The portal lets you:

View your current plan, renewal date, and compliance status
Update your intake information and upload documents
Track 180-night usage (entire-unit rentals)
Confirm Municipal Accommodation Tax (MAT) filings (Full / Premium plans only)
Connect an Airbnb iCal feed for automated stay tracking (Full / Premium plans only — see Section 8)
Download permit documents and compliance records
Manage billing and view invoices via the Stripe Customer Portal

Portal access is for your use only; you may not share login credentials.

8. Airbnb Calendar (iCal) Stay Tracking — Optional

Hosts on Full Compliance and Premium Host plans may optionally connect an Airbnb iCal calendar feed so PRP can automatically track booked nights against the City of Toronto's 180-night cap on entire-unit rentals.

This feature is opt-in and applies only to entire-home listings (not private rooms).
Calendar URLs are encrypted at rest using AES-256.
PRP fetches the iCal feed every 4 hours; we never log into Airbnb, scrape your dashboard, or access guest details, payouts, or messages.
You may disconnect a calendar at any time from the portal.
Stay-tracking results are advisory; the City of Toronto's records remain authoritative.

9. Municipal Accommodation Tax (MAT) Support

Full Compliance and Premium Host plans include MAT confirmation tooling: quarterly reminders, remittance prep guidance, and a MAT confirmation email tool. The confirmation tool, when enabled, lets you email a pre-filled remittance summary to the City of Toronto on your own behalf after you have made the payment. This tool is gated to clients who:

Are subscribed to a plan that includes MAT support, AND
Have a valid, Approved permit number on file in their account

PRP does not file MAT returns and does not act as your agent with the City. All filings and payments remain your sole responsibility.

10. Limitation of Liability

To the fullest extent permitted by law, PRP shall not be liable for:

Permit denial, suspension, or revocation
Fines, penalties, or enforcement actions
Loss of income or rental revenue
Platform delistings (Airbnb, Booking, etc.)
Any decisions made by the City or third parties
Service interruptions caused by third-party processors (Stripe, Supabase, Resend, Netlify)

11. Indemnification

You agree to indemnify and hold harmless PRP from any claims, damages, or liabilities arising from your non-compliance, misrepresentation or omission of information, or actions taken based on PRP guidance.

12. Cancellation & Refund Policy

All annual plans are pre-paid and non-refundable once the service period has commenced.

Client-initiated cancellation: You may cancel at any time via the Stripe Customer Portal or by emailing info@permitreadypros.com. No refund will be issued for the remainder of the annual term.
Plan upgrades: Available at any time; Stripe pro-rates the difference automatically.
Plan downgrades: Take effect at the next renewal.
PRP-initiated cancellation: PRP may terminate this agreement if you provide false or misleading information, or engage in conduct that is abusive, unlawful, or contrary to these Terms. A prorated refund may be considered at PRP's sole discretion.

13. Property Inspection & Compliance Review

PRP may offer in-person or virtual inspections to assess compliance readiness. Inspections are visual and non-invasive only, do not guarantee compliance, and do not substitute for an official City inspection. You remain responsible for completing required updates and passing any official inspections.

14. Privacy & Data Protection

PRP collects and handles your personal information in accordance with Canadian privacy legislation (PIPEDA) and Ontario's privacy framework. The full description of what we collect, how we use it, and our third-party processors is in our Privacy Policy.

Key processors we use:

Supabase (US) — database, auth, document storage
Stripe (US) — billing, subscriptions, Customer Portal
Resend (US/EU) — transactional email
Netlify (Global) — site hosting

By using PRP, you consent to your data being processed in these jurisdictions.

15. Force Majeure

PRP shall not be liable for any failure or delay caused by circumstances beyond our reasonable control, including regulatory changes, natural disasters, pandemics, government-ordered shutdowns, or third-party platform outages. If services cannot be resumed within 60 days, either party may terminate.

16. Dispute Resolution

Direct negotiation — both parties engage in good-faith discussion for 14 days from written notice.
Mediation — if unresolved, refer to a mutually agreed mediator in Ontario; cost shared equally.
Legal proceedings — if mediation fails, the courts of Ontario have exclusive jurisdiction.

Nothing in this clause prevents either party from seeking urgent injunctive or equitable relief.

17. Electronic Signatures & Communications

By creating an account, completing checkout, or otherwise indicating acceptance through PRP's portal, you electronically agree to these Terms. Electronic acceptance is legally binding under Ontario's Electronic Commerce Act, 2000.

18. Plan Schedule & Service Definitions

Service term	Definition
Annual Compliance Support	Year-round availability to answer compliance questions and provide regulatory updates relevant to your permit.
Compliance Audit	A structured review of your STR listing, guest communications, operations, and documentation to identify and address potential bylaw violations.
Complaint Response	Guided support for responding to a City of Toronto complaint or bylaw notice, including review and template communications.
Quarterly Email Check-Ins	Scheduled quarterly email summarizing relevant regulatory changes, upcoming deadlines, and compliance reminders.
MAT Confirmation Email Tool + Quarterly Reminders	Guidance on calculating and preparing your MAT remittance, deadline reminders, and a pre-filled confirmation email you send to the City after you have made the payment. PRP does not file MAT on your behalf — the permit holder remains responsible for all remittances.
Priority Phone & Email Support	Elevated response priority with a target one-business-day turnaround.
Permit Application Prep	Assistance organizing and reviewing all documentation required for a new or renewal STR permit application.
10-Day Notice Response Support	Workflow support for preparing a written response to a City of Toronto Intent to Revoke notice within the statutory 10-day window — including evidence organization and template communications. PRP does not act as legal counsel; complex matters may require a licensed professional.
Monthly Compliance Monitoring	A monthly check-in and review of your compliance status, including bylaw, listing, and enforcement updates.

19. Governing Law & Independent Contractor

These Terms are governed by the laws of the Province of Ontario, Canada. PRP operates as an independent contractor and is not affiliated with any government authority.

20. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated by email and posted to this page with an updated effective date. Continued use of PRP services after a change indicates acceptance.
